Post Festival Wrap-Up
The Post-Festival Wrap-Up phase ensures the FAMDA One Act Play Festival is formally closed, documented, and reviewed. This stage confirms results, recognises contributors, completes financial requirements, and preserves key records to support future Festival teams.
A consistent wrap-up process supports transparency, continuous improvement, and the long-term sustainability of the Festival.
Results & Adjudication
Lead: Festival Coordinator
Timing: Within 3–5 days post-festival
- Publish official Festival results via approved FAMDA channels
- Distribute adjudicator reports to participating groups
- Submit required Victorian Drama League (VDL) documentation (if applicable)
- Record results in FAMDA Festival archives
Acknowledgements
Lead: Festival Coordinator (with Committee support)
Timing: Within 7 days post-festival
- Issue thank-you communications to volunteers, adjudicator, and participating groups
- Acknowledge sponsors and supporters as appropriate
- Prepare any public acknowledgements or social media posts
- Record key contributors for future reference
Financial Reconciliation
Lead: Treasurer
Timing: Within 14 days post-festival
- Finalise ticketing and Square reconciliation
- Confirm payment of adjudicator and approved expenses
- Complete Festival financial summary for Treasurer records
- Report financial outcome to FAMDA Committee
Festival Debrief & Lessons Learned
Lead: Festival Coordinator
Timing: Within 3–4 weeks post-festival
- Conduct internal Festival debrief meeting
- Capture key successes, issues, and improvement opportunities
- Record recommendations for next Festival cycle
- Store debrief notes in Festival records
Archiving Requirements
Lead: Secretary or delegated Committee member
Timing: Within 4 weeks post-festival
- File final program, publicity materials, and results
- Store adjudication summaries and key correspondence
- Archive financial summary and debrief notes
- Ensure all records are saved to the FAMDA Google Drive in the correct folder structure
